Welcome to MatesEvent – Everything You Need to Create, Manage, Sell and Attend Events
MatesEvent is a complete event ticketing and event management platform built to make the entire event journey easier for both organizers and customers.
From creating an event and designing ticket types, to choosing seats, booking tables, making payments, receiving digital tickets, checking guests in at the door and reviewing event sales, MatesEvent brings the important parts of event management together in one place.
Whether the event is a concert, party, theatre performance, dining experience, family event, sporting event, corporate function or another type of live experience, MatesEvent is designed to give organizers the tools they need while keeping the booking process simple for customers.
Event Creation and Management
Organizers can create and manage events directly through MatesEvent.
Event information can include the event name, description, dates, times, venue information, event type, category, images, ticket information and other event details.
Organizers can update event information when required and manage their events through their organizer account.
The platform is designed to support both venue-based and online events.
Multiple Ticket Types
An event can have different ticket types with different prices, quantities and booking rules.
This allows an organizer to create options such as general admission, VIP, children’s tickets, different seating areas or any other ticket structure required for the event.
Ticket availability is tracked so customers can see what can still be booked.
Reserved Seating
MatesEvent includes a custom seat-map system for events that require allocated seating.
Organizers can build a seating layout that reflects the venue and create rows of seats directly on top of the venue plan.
Rows can be positioned and adjusted individually.
The seat-map tools include:
- Creating seat rows
- Naming rows
- Choosing the number of seats in a row
- Adjusting seat spacing
- Resizing rows
- Moving complete rows around the venue map
- Curving rows
- Positioning individual seats
- Saving exact seat positions
- Removing rows or seats where required
This allows organizers to create a seating plan that closely matches the actual venue.
Table Booking
MatesEvent also supports table-based events.
Organizers can add tables directly to the venue layout and position them where they belong.
Tables can support different selling methods depending on how the organizer wants to operate the event.
A table can be sold as a complete table or, where configured, individual places at the table can be booked separately.
The system can track table capacity, remaining places and availability.
This makes the platform suitable for dinners, Arabic parties, cabaret-style events, weddings, functions and other events where tables are used instead of standard theatre seating.
Combined Seats and Tables
A venue does not have to use only one booking style.
The MatesEvent seat-map system can support layouts containing both standard seating rows and tables.
This makes it possible to recreate more complicated venues where different sections use different seating arrangements.
Live Seat Availability
When customers open a seat map, the system checks the current availability of the seats and tables.
Seats and tables can have statuses such as:
- Available
- Held
- Sold
- Blocked
- Partially booked
This helps prevent customers from selecting places that are no longer available.
Temporary Seat and Table Holds
When a customer selects a seat or table during the booking process, MatesEvent can temporarily hold that selection.
The hold gives the customer time to complete checkout without another customer purchasing the same place at the same time.
Seat holds automatically expire after the configured hold period if the booking is not completed.
This is particularly important during popular events where multiple customers may be trying to book at the same time.
Protection Against Duplicate Bookings
MatesEvent uses availability checks and locking during the booking process to reduce the chance of the same seat or table being sold twice.
The server re-checks the booking before completing the order rather than relying only on what the customer sees in their browser.
Secure Online Checkout
Customers can complete their booking online.
The checkout system recalculates important values on the server before completing the order.
This includes the selected tickets, quantities, pricing, discounts, taxes and payment information.
This helps protect the booking process from incorrect or manipulated values submitted from the browser.
Payment Options
MatesEvent supports different payment methods depending on the configuration of the event and platform.
Payment integrations include:
- Stripe
- PayPal
- Razorpay
- Flutterwave
- Wallet payments
- Local or manual payment methods where enabled
- Free ticket orders
Stripe is currently one of the main payment systems used by MatesEvent for live online payments.
Taxes, Fees and Commission
MatesEvent can calculate taxes and other charges as part of an order.
The platform also supports organizer commission calculations and settlement-related totals.
These values are calculated as part of the checkout and order process so organizers and administrators can review the correct financial information.
Coupons and Discounts
Events can support coupon codes and discounts.
Where a valid coupon is used, the discount is included in the checkout calculation and reflected in the order total.
Customer Accounts
Customers can create an account and use it to manage their activity on MatesEvent.
Their account can be used to access purchased tickets and booking information.
This means the ticket does not exist only in an email. Customers can also access their purchased tickets through their MatesEvent account.
Digital Tickets
After a successful booking, MatesEvent generates digital ticket information for the customer.
Tickets can include important information such as:
- Event information
- Ticket type
- Ticket number
- Customer information
- Order information
- Payment details
- QR code
Tickets can be accessed digitally and can also be generated as PDF tickets.
PDF Ticket Generation
MatesEvent can automatically generate PDF tickets after an order.
The PDF gives customers a convenient ticket that can be stored on their phone or printed if required.
Ticket Email Delivery
Ticket and order emails can be sent automatically to customers.
The email system is designed to send booking confirmation information and provide the customer with their ticket details after the purchase is completed.
Unique Ticket Numbers
Tickets are assigned unique ticket numbers.
These numbers are used internally to identify tickets and are also connected to the scanning and check-in system.
QR Code Tickets
MatesEvent tickets can contain QR codes.
The QR code allows tickets to be scanned quickly at the event entrance instead of staff manually searching through guest lists.
Event Scanner System
MatesEvent includes a scanner system for event entry.
Authorized scanner users can log in and access the events they are permitted to scan.
The scanner system can retrieve event information and customer ticket information and can process ticket check-ins.
Door Check-In
At the venue entrance, staff can scan a customer's ticket.
The system checks the ticket against the event and updates the check-in information.
This allows event staff to see whether a ticket is valid and whether it has already been used.
Maximum Check-Ins
Tickets can support maximum check-in rules where required.
This can be useful in situations where a ticket allows more than one permitted entry or where an organizer needs to control how many check-ins are allowed against a ticket.
Guest and Buyer Information
Organizers can review buyers and the tickets connected to those buyers.
Instead of only seeing general ticket totals, organizers can identify the customer and view the tickets associated with that customer.
This is useful when a guest arrives without their ticket or when staff need to search by the buyer's name.
Search for Buyers and Tickets
The organizer side can support searching for customers and their purchased tickets.
This gives event staff another way to locate a booking even if the customer cannot immediately produce the QR code.
Organizer Dashboard
Organizers have access to tools for managing their events and reviewing activity.
Depending on the event and configuration, this can include information such as:
- Events
- Orders
- Customers
- Ticket sales
- Revenue
- Availability
- Sold tickets
- Scanner access
- Payment information
- Reports
Sold, Available and Held Seat Information
For events using reserved seating, organizers can review the status of the venue layout.
Seats and tables can be shown according to whether they are sold, available or temporarily held.
This gives organizers a visual understanding of how the event is selling.
Event Sales Tracking
MatesEvent tracks event ticket sales and booking quantities.
Organizers can use this information to understand how many tickets have been sold and how much availability remains.
Reports and Revenue Information
The platform includes reporting tools for administrators and organizers.
These can be used to review orders, customers, event revenue, payment activity and other event-related financial information.
Organizer Approval
Organizer access can be controlled through an approval process.
This means organizer accounts can be reviewed before they receive full organizer access.
Approved-organizer controls help prevent unapproved accounts from using organizer-only functionality.
Organizer Payment and Payout Tools
The platform includes tools related to organizer payments, payment requests, payouts and settlement information.
Organizer Stripe account linking can also be supported where required.
Wallet Transactions
MatesEvent includes wallet-related functionality that can be used for supported payment and account transactions.
Refunds and Cancellations
The system includes workflows for handling event cancellations and refund-related activity.
This allows orders and financial records to remain connected to the event rather than treating a cancelled booking as if it never existed.
Event Categories
Events can be organised into categories to make discovery easier.
Examples can include:
- Hospitality & Catering
- Corporate Events
- Theatre & Performing Arts
- Sports
- Dining & Food
- Family
Categories help customers browse the types of events they are interested in.
Event Search and Filtering
Customers can search and filter events from the MatesEvent homepage.
Current filters include options such as:
- Category
- Event type
- Duration
Duration options can include:
- Today
- Tomorrow
- This week
- A selected date
This allows customers to narrow down events without browsing through everything on the platform.
Favourite Events
Logged-in customers can save events to their favourites.
This makes it easier to return to an event they are interested in without having to search for it again.
Favourite Blogs
The platform also supports saving blog content to a user's favourites.
Event Blogs and Content
MatesEvent includes a blog system so the platform can publish information about events, organizers, entertainment, ticketing and other relevant topics.
The blog section can help customers discover useful information while also giving MatesEvent a place to explain new features and platform updates.
Mobile-Friendly Experience
The platform is designed to work across desktop and mobile devices.
This is especially important because many customers discover events, purchase tickets and show their tickets at the venue using their phones.
The seat-map experience has also been developed with responsive scaling so customers can view venue layouts on smaller screens.
Responsive Seat Maps
Venue maps, seating rows and tables are designed to scale to different screen sizes.
This allows the same saved venue layout to be displayed on desktop and mobile without changing the underlying seat positions.
Organizer Seat-Map Editor
The seat-map editor gives organizers visual control over the venue rather than forcing them to enter seat positions manually.
The editor can use a venue background image and lets organizers place seating objects over the actual floor plan.
This makes complicated venue layouts much easier to create.
Venue Background Plans
Organizers can use an uploaded venue image as the background of the seat-map editor.
Seats and tables can then be positioned over that venue plan.
This helps customers understand exactly where they are booking.
Booking Date Support
Tickets can support date-required booking options where an event or ticket needs the customer to choose a relevant date.
Order Notifications
The booking process includes notification functionality so relevant users can be informed when important booking activity occurs.
Push Notification Support
The platform includes push-notification functionality that can be used as part of event and order communication.
Email Infrastructure
MatesEvent uses transactional email infrastructure for important platform messages such as account verification, bookings and tickets.
Login and Account Security
MatesEvent includes security controls around login and account access.
Administrative login routes can be rate-limited to reduce brute-force attempts.
Verification Codes and Expiry
User and organizer verification flows can use one-time verification codes.
These verification codes are time-limited rather than remaining valid indefinitely.
Password Reset and Password Change
The platform includes password-reset and password-change functionality for users who need to recover or update their account credentials.
Role-Based Access
Different parts of MatesEvent are protected according to the type of account accessing them.
Customers, organizers, scanners and administrators do not all receive the same access.
This helps ensure that sensitive management functions remain restricted to the correct users.
Protected Organizer Areas
Organizer-only areas can be protected so that an account must have the correct organizer status before accessing organizer functions.
Administrative Management
The MatesEvent administration system provides broader management tools for overseeing the platform.
Administrative functionality can include:
- Organizer management
- Event management
- Ticket management
- Orders
- Customers
- Reports
- Revenue
- Taxes
- Scanner management
- Payment requests
- Payouts
- Wallet transactions
- Platform settings
Database-Based Availability
MatesEvent does not rely only on visual information shown in the browser.
Seat availability, ticket orders, holds and sales are tied back to the database so the server remains the source of truth.
Booking Consistency
During the booking process, the system checks current booking information before completing payment and creating the final ticket.
This helps reduce problems caused by outdated browser data or another customer booking at the same time.
Designed for Different Event Types
MatesEvent is not designed for only one type of event.
The platform can be used for:
- Concerts
- Parties
- Theatre
- Performing arts
- Dining events
- Food events
- Family events
- Sporting events
- Corporate events
- Table-based entertainment
- General admission events
- Reserved seating events
Built for Organizers and Customers
One of the main goals of MatesEvent is to serve both sides of an event.
For organizers, it brings event creation, ticketing, seating, sales, guest management and check-in together.
For customers, it provides event discovery, secure booking, seat selection, digital tickets and convenient event entry.
The MatesEvent Goal
Events should be exciting for the people attending them and manageable for the people organizing them.
MatesEvent is being developed around that idea: reduce unnecessary complexity, give organizers practical tools, and make the customer booking experience straightforward.
From the first event listing to the final ticket scan at the door, MatesEvent is designed to support the complete event journey.
